Job Description:
We are looking for an organized, detail-oriented Sales
Officer to join our growing Sales team at Head Office, Islamabad. In this
first-stage role, you will be the backbone of the account pod — keeping ODOO
CRM and related sales systems accurate and current, coordinating the commercial
and technical sides of every active account, and playing an active role in bid
meetings and bid document preparation and submission for tenders across
Fortek's solutions. You will report to, and closely support, both the Key Account
Manager and the Technical Account Manager on your assigned accounts.As you build fluency in Fortek's systems, portfolio, and
client base over the period, this role is designed to grow into broader
business development and client relationship responsibilities.

• ODOO CRM proficiency, or demonstrated ability to learn CRM/ERP systems quickly
• Bid/tender document preparation, coordination, and deadline management
• Quotation, purchase order, and sales documentation support
• Client-facing communication and coordination, under the Account Manager's guidance
• Strong verbal and written communication skills in English and Urdu
• Proficiency in MS Office (Excel, PowerPoint, Word)

• Self-motivated, target-driven, and resilient under pressure
• Willingness and ability to travel extensively across Pakistan as per business needs
• Basic understanding of ICT/technology solutions is an advantage
Job Experience Required:
- Bachelor's degree (16 years of education) in Business Administration, Marketing, IT, Engineering, or a related discipline.
- Fresh graduates with strong aptitude and relevant internship/academic exposure to sales coordination, back-office sales support, or bid/tender support are encouraged to apply.

Up
to 2 years of relevant experience in sales coordination, CRM/ERP
administration, or bid/tender support preferred. Direct B2B sales or business
development experience is not required at this stage — it becomes relevant as
the role grows — but is an advantage.
Certifications (Preferred, Not Mandatory at This Level)- Familiarity with ODOO CRM/ERP is a strong advantage; a formal ODOO Functional certification is a plus but not required at this level.
- A short course/certificate in Sales Fundamentals or B2B Selling (e.g., HubSpot Academy, Coursera, LinkedIn Learning) — an advantage.
- Exposure to bid/proposal writing fundamentals (e.g., an APMP Foundation-level course) is a plus, given this role's bid-support scope.
- A basic, awareness-level certification in networking/ICT fundamentals (e.g., Cisco or H3C fundamentals, CompTIA IT Fundamentals) is a plus, given Fortek's technical product portfolio, though not required at this level.
Duties & Responsibilities

1. Supporting Key Account Managers & Technical Account Managers
• Act as the first point of coordination support for the assigned Key Account Manager(s) and Technical Account Manager(s) across every active account.
• Prepare briefing notes, account summaries, and follow-up trackers ahead of client meetings led by the Account Manager or Technical Account Manager.
• Take ownership of routine account administration so the Account Manager and Technical Account Manager can focus on strategic client engagement and technical solutioning.
• Flag emerging client needs, risks, or escalations promptly to the Account Manager and Technical Account Manager.
• Support onboarding of new accounts by compiling client information, contractual documents, and technical requirements for the account team.
2. Sales Coordination & Administrative Support
• Coordinate day-to-day sales administration for the assigned account pod — scheduling, documentation, and internal follow-ups.
• Prepare, track, and follow up on quotations, proposals, purchase orders, and delivery schedules on behalf of the account team.
• Assist in preparing commercial documentation for the Account Manager's review and sign-off, and help manage the deal cycle — from quotation to purchase order to handover — through to a smooth transition to the delivery/project team.
• Maintain organized documentation — contracts, purchase orders, warranty/AMC records, and correspondence — for audit-readiness and quick retrieval.
• Coordinate order processing end-to-end with different stakeholders to ensure timely delivery and invoicing.
• Support the Account Manager and Technical Account Manager with any ad-hoc administrative or coordination needs across the sales cycle.
3. ODOO CRM & Sales Systems Management
• Maintain accurate, real-time records of leads, opportunities, and client accounts in Fortek's ODOO CRM module at every stage of the sales cycle.
• Update related ODOO modules (e.g., Sales, Project etc.) as needed to keep order status, and delivery timelines current for the account team.
• Generate ODOO-based reports, pipeline dashboards, and MIS to support the Account Manager's and Technical Account Manager's reporting to Sales leadership.
• Ensure data hygiene and consistency across ODOO records, promptly flagging discrepancies or system issues to IT/ODOO administrators.
• Support onboarding and training of new team members on ODOO CRM usage and sales systems best practices.
4. Bid Meetings, Documentation & Submission Support
• Attend internal and client-facing bid/tender meetings and pre-bid conferences alongside the Account Manager and Technical Account Manager, taking notes and tracking action items.
• Assist in preparing bid and tender documents — technical and commercial proposals, compliance sheets, company profiles, CVs/certifications, and past-project references — in coordination with the Presales/Technical team.
• Maintain a bid tracker/calendar covering submission deadlines, required documents, and internal approval sign-offs across all active tenders.
• Coordinate with Finance & Commercials on bid bonds, bank guarantees, and other tender-related financial instruments as required.
• Ensure timely, fully compliant submission of bid documents per each tender's requirements — physical, courier, or portal-based.
• Maintain an organized archive of submitted bids and outcomes to support future proposals and lessons learned.
5. Market & Competitive Intelligence
• Track market trends, competitor activity, and pricing benchmarks within the ICT infrastructure and systems integration space.
• Gather client feedback and market insight to inform product/vendor positioning and pricing strategy.
• Share intelligence on upcoming tenders, projects, and public/private sector budget cycles with Sales leadership.
• Support the identification of new vendor partnerships or product lines aligned with emerging market demand.
6. Cross-Functional Coordination & Compliance
• Work closely with Presales/Technical and Technical Account Management teams to scope accurate, deliverable client solutions and bid responses.
• Coordinate with the Projects/PMO team to ensure a smooth handover of won deals and alignment on delivery timelines.
• Support internal audits and compliance reviews related to sales documentation, CRM records, and bid files.
Reporting Responsibilities (Daily, Weekly & Monthly)

Daily Reporting:
• Prospect and follow up on new leads via calls, emails, and field visits.
• Update CRM records and the pod's sales tracker for all client interactions, pipeline movements, and order status.
• Respond to client queries and coordinate with Presales/Technical teams for quick turnarounds.
• Align daily priorities with the Account Manager and Technical Account Manager, flagging anything needing their input.
• Conduct at least one client meeting or visit (in-person where territory/travel permits, or virtual).
• Review daily sales priorities and confirm next-day appointments.
Weekly Reporting:
• Submit a weekly sales activity and pipeline report to the Account Manager and Technical Account Manager.
• Participate in the weekly pod review/huddle with the Account Manager and Technical Account Manager to align on targets, blockers, and support needed.
• Plan and confirm the coming week's travel/client-visit schedule across the assigned territory.
• Follow up on pending quotations, proposals, and purchase orders.
• Coordinate with Procurement/Vendor teams on stock, pricing, and lead-time updates for active deals.
Monthly Reporting:
• Review performance against monthly sales targets/quota with the Account Manager and Technical Account Manager.
• Update and refine account plans for key clients based on the month's engagement.
• Submit a monthly sales forecast and pipeline health report.
• Compile the pod's monthly account documentation — contracts, purchase orders, and AMC/warranty records — for review.
• Participate in the monthly Sales & Operations review meeting.
• Track progress on any certifications or training goals agreed with the Account Manager and Technical Account Manager.
