Job Description:

The Project Coordinator plays a pivotal role in ensuring structured execution of Data Center and ICT infrastructure projects across Pakistan. The role bridges planning, site execution, procurement, and management reporting to ensure projects are delivered within scope, time, and budget.

This position operates within a system integrator environment, supporting multi-vendor enterprise infrastructure deployments including Active Networks, Servers & Storage, HVAC Systems, Structured Cabling, Power & ELV systems.

Job Location

Head Office (Islamabad) with frequent/occasional travel to project sites across Pakistan.

The candidate must be willing to travel frequently to project sites across Pakistan as per business requirements.

Job Requirements


  • Skills & Tools:

    Qualifications

    • BS Engineering (Electrical / Telecom / IT / Civil) OR BS Project Management

    Certifications (Preferred)

    • Primavera P6 or MS Project
    • PMP (in progress preferred)
    • ITIL Foundation (advantageous)

    Other Key Skills

    • Project scheduling basics

    • ERP familiarity (Odoo preferred)

    • Strong documentation discipline

    • Vendor coordination

    • Multi-project handling ability

    • Structured communication skills


    Job Experience Required:
    • 5–7 years relevant experience in ICT / Data Center / EPC projects

    • Strong exposure in vendor-side / system integrator environment preferred

Duties & Responsibilities

  • 1. Project Execution Coordination & Follow-Up

    • Coordinate execution activities between site engineers, planning team, procurement, and subcontractors to ensure smooth workflow alignment.

    • Monitor milestone-based progress against approved baseline schedule and escalate deviations proactively.

    • Track material delivery status and confirm readiness before technical deployments commence.

    • Follow up on pending dependencies affecting critical path activities and ensure timely resolution.

    • Support mobilization planning by ensuring required manpower, tools, and documentation are available on site.

    2. Project Documentation & Control

    • Maintain structured document registers including BOQs, drawings, approvals, RFIs, and contractual correspondence.

    • Ensure version control of drawings and technical submissions to prevent execution errors.

    • Track change orders and ensure approval documentation is properly logged in ERP.

    • Maintain compliance documentation for audits and internal governance reviews.

    • Archive project communication logs and maintain traceable documentation records.

    3. ERP & Reporting Compliance (Odoo)

    • Update project tasks, milestones, and status in ERP on a daily basis.

    • Consolidate site DPRs into standardized weekly reports.

    • Ensure timesheet entries are aligned with project activities for cost tracking accuracy.

    • Validate milestone achievements before financial billing triggers.

    • Support dashboard data accuracy for management reporting.

    4. Vendor & Subcontractor Coordination

    • Coordinate technical discussions between vendors and internal execution teams.

    • Monitor vendor SLA compliance during deployment phases.

    • Track material shortages or quality concerns and escalate appropriately.

    • Assist in resolving site-level coordination conflicts.

    • Ensure vendor documentation aligns with contractual requirements.

    5. Risk & Issue Management

    • Maintain risk register updates and log emerging execution risks.

    • Track issue resolution timelines and escalate overdue items.

    • Assist planning team in identifying schedule-impacting risks.

    • Support implementation of mitigation measures.

    • Maintain structured issue closure documentation.

    6. Quality & Compliance Support

    • Ensure project activities follow approved method statements.

    • Verify checklist compliance before milestone closures.

    • Assist in snag list tracking and closure documentation.

    • Support site audits and compliance verification processes.


Reporting Responsibilities (Daily, Weekly & Monthly)

  • Daily Reporting:
    Daily Tasks:

    Follow up on execution progress updates from site teams and validate task completion percentages.
    Update ERP tasks and milestone trackers to reflect real-time project status.
    Coordinate with procurement for pending material deliveries affecting schedule.
    Escalate blockers impacting critical path activities to Assistant Manager.

    Weekly Reporting:
    Weekly Tasks:

    Consolidate weekly progress reports (WPR) for management review.
    Review schedule variance with Planning Engineer and identify deviations.
    Update risk and issue register with new entries and status changes.
    Participate in coordination meetings and document MOM with action items.
    Validate vendor compliance with execution timelines.

    Assist in portfolio dashboard consolidation for senior management.
    Review project documentation completeness for audit readiness.
    Analyze recurring coordination issues and recommend process improvements.
