Job Requirements

  • Key Qualifications:
    • Bachelor’s or Master’s degree in CS, IT or Business field.  OR
    • Graduate

    Required experience:

    1–2 years of experience in Sales Coordination, Sales Operations, or Business Support (preferably in IT, Technology, or Service industry).

Duties & Responsibilities

  • Duties & Responsibilities:

    The sales coordinator will play a key role in supporting the Sales team by ensuring smooth coordination, timely updates, and efficient management of sales operations. This position involves CRM management, bid preparation, performance tracking, reporting, and cross-departmental coordination. The sales coordinator will act as a bridge between the Sales, Technical, and Operations teams to streamline processes and enable the Sales team to achieve business goals effectively.

     

    Key Responsibilities

    1. Sales Coordination & CRM Management

    ·         Follow up with the Sales team to ensure timely and accurate updates in the CRM system.

    ·         Monitor pipeline data, ensure records are complete, and highlight discrepancies for corrective action.

    ·         Maintain a central repository of all sales-related documents for easy access.

    2. Meetings & Reporting

    ·         Organize and conduct weekly sales meetings; prepare and circulate meeting agendas and minutes to management.

    ·         Track, review, and analyze sales performance metrics (targets, closures, revenue).

    ·         Prepare and share periodic performance dashboards, forecasts, and analytical reports with management.

    3. Bid & Proposal Management

    ·         Assist the Sales team in managing bids and addressing bid complications to ensure compliance with client requirements.

    ·         Maintain centralized record-keeping of all bids for efficient tracking and reference.

    ·         Manage preparation of bids in line with RFP requirements, including drafting and submission of financial bids.

    ·         Liaise with Technical teams to ensure timely development and submission of technical proposals.

    4. Cross-Functional Coordination

    ·         Coordinate communication between Sales, Technical, Operations, and Management to ensure alignment.

    ·         Support sales-related documentation, contracts, and compliance requirements.

    ·         Track pending actions and ensure timely completion across teams.

    5. Process Improvement & Support

    ·         Contribute to process improvement by identifying operational gaps and recommending solutions.

    ·         Ensure adherence to organizational policies and procedures in all sales operations.

           ·        Perform any other tasks assigned by management relevant to sales coordination and support.

Reporting Responsibilities


  • Daily Tasks
    • Follow up with Sales team to ensure CRM is updated with accurate leads, opportunities, and pipeline status.
    • Review and track daily sales activities, highlighting pending actions or gaps.
    • Coordinate with Technical team for ongoing proposals and documentation.
    • Assist in drafting, formatting, or reviewing financial bids and client responses.
    • Handle routine communication and coordination between Sales, Operations, and Management.
    • Maintain centralized documentation and records of bids and contracts.

    Weekly Tasks
    • Organize and conduct weekly sales meetings; prepare agenda, minutes, and circulate to management.
    • Review weekly performance reports (leads generated, conversions, revenue, pipeline).
    • Update and share sales dashboards with management for decision-making.
    • Coordinate weekly bid status with Sales and Technical teams; ensure compliance with timelines.
    • Identify gaps in processes and recommend improvements for better efficiency.
    • Provide administrative and coordination support for ongoing sales initiatives.

    Monthly Tasks
    • Prepare and share detailed monthly sales performance analysis with management (comparisons, forecasts, trends).
    • Review CRM data integrity and suggest corrective actions where needed.
    • Maintain and update centralized bid and proposal repository for long-term tracking.
    • Compile reports on closed deals, won/lost bids, and highlight areas of improvement.
    • Support Management in preparing presentations for monthly sales review meetings.
    • Contribute to process enhancements by documenting lessons learned from bids and sales operations.
