Job Description:

This role ensures that all bids are strategically positioned, fully compliant, commercially competitive, and delivered within deadlines, while aligning with organizational objectives, risk appetite, and profitability targets.

The position plays a central coordination role between Sales, Engineering, Finance, Legal, Supply Chain, and Operations, and is critical in managing two-stage bidding processes involving separate technical and financial evaluations. The Bid Manager will drive bid governance, proposal quality, pricing strategy, and submission excellence for public and private sector tenders.

    ·         Bachelor’s degree in electrical, Mechanical, Telecom, or Computer Engineering. Master’s degree (MBA / MS / MSc) in Business, Project Management, or Commercial Management is an advantage.

    ·         Strong exposure to EPC / System Integration / Solution-Based projects and Public & Private Sector Tenders.

    ·         High attention to detail and accuracy

    ·         Excellent project management and stakeholder coordination skills

    ·         Strong commercial, technical, financial, and negotiation skills

    ·         Ability to work under tight deadlines

    ·         Client facing communication and presentation skills

    ·         Leadership, team management, and decision-making ability

    ·         Strategic thinking with commercial acumen.

    ·         Familiarity with CRM, ERP, or bid management tools.

    Certifications (Preferred / Advantageous):

    • APMP (Association of Proposal Management Professionals) – Foundation or Practitioner

    • PMP / PRINCE2 (Project Management certifications)

    • Certified Commercial Contracts Manager (CCCM / CFCM)

    • ITIL (for service & SLA-driven bids)
      Any certification in procurement, contracts, or commercial management is a plus.


    Required experience:

    8 - 12 Years of proven experience in Bid / Proposal Management, Tendering& Large-scale, complex, multi-disciplinary bids.

Duties & Responsibilities

  • Key Responsibilities:

    1. End-to-End Bid & Tender Management

    ·         Own and manage the complete bid lifecycle from opportunity identification to final submission and post-submission clarifications.

    ·         Lead two-stage bidding processes, ensuring clear separation, accuracy, and compliance of:

    o    Technical Proposals

    o    Financial / Commercial Proposals

    ·         Develop and manage bid plans, timelines, responsibility matrices, and submission schedules.

    ·         Ensure strict adherence to client instructions, tender documents, and evaluation criteria.

    2. Technical Proposal Coordination

    ·         Coordinate with Engineering, Solution Architects, and Subject Matter Experts to develop:

    o    Technical methodologies

    o    Solution architectures

    o    Compliance matrices

    o    Project execution plans

    o    SLAs, KPIs, and service models

    ·         Review technical content to ensure:

    o    Completeness

    o    Clarity

    o    Compliance

    o    Alignment with client requirements and scoring criteria

    ·         Ensure all technical submissions reflect best-in-class industry practices.

    3. Commercial & Financial Bid Management

    ·         Lead preparation of commercial proposals, including:

    o    Pricing models

    o    Cost build-ups

    o    BOQs / BOMs

    o    Payment terms

    o    Commercial assumptions

    ·         Coordinate with Finance and Supply Chain for:

    o    Cost validation

    o    Margin analysis

    o    Currency exposure

    o    Taxation and duties

    ·         Ensure pricing strategies are competitive, profitable, and risk aligned.

    ·         Manage commercial deviations, exclusions, and clarifications.

    4. Contractual & Risk Review

    ·         Coordinate contractual reviews with Legal and Commercial teams.

    ·         Identify, assess, and document:

    o    Commercial risks

    o    Contractual liabilities

    o    SLA penalties

    o    Performance guarantees

    ·         Ensure risks are appropriately:

    o    Mitigated

    o    Priced

    o    Approved through internal governance mechanisms.

    5. Compliance, Governance & Quality Control

    ·         Develop and maintain bid compliance checklists.

    ·         Ensure all submissions meet:

    o    Technical compliance

    o    Commercial compliance

    o    Legal and regulatory requirements

    ·         Lead internal bid reviews and approvals prior to submission.

    ·         Ensure proper version control, documentation, and authorization.

    6. Stakeholder Coordination & Communication

    ·         Act as the single point of contact for bid-related coordination internally.

    ·         Interface with clients for:

    o    Pre-bid meetings

    o    Clarifications

    o    Post-submission queries

    ·         Coordinate with partners, OEMs, and subcontractors for:

    o    Quotations

    o    Technical inputs

    o    Commercial terms

    7. Post-Bid & Knowledge Management

    ·         Support negotiations, clarifications, and best-and-final-offer (BAFO) stages.

    ·         Conduct bid post-mortems (won/lost analysis).

    ·         Maintain a bid knowledge repository, templates, and pricing benchmarks.

    ·         

    Continuously improve bid processes, tools, and standards.

Reporting Responsibilities


  • Daily Tasks:
    • Review incoming tender opportunities and RFQs.
    • Coordinate with internal teams on bid input.
    • Track bid timelines and action items.
    • Review technical and commercial drafts for accuracy and compliance.

    Weekly:
    • Lead bid review meetings and internal approvals.
    • Coordinate cost validation and pricing reviews with Finance.
    • Manage vendor and partner quotations.
    • Update bid trackers, dashboards, and management reports.

    Monthly:
    • Conduct bid performance reviews (win/loss analysis).
    • Update bid templates, compliance matrices, and standard responses.
    • Support strategic planning for upcoming pipeline opportunities.
    • Recommend process improvements for bid efficiency and success rate.
